Burlington Gymnastics is Seeking a Special Events Coordinator


The Burlington Gymnastics Club is a not-for-profit organization governed by a volunteer Board of Directors. For over fifty years the club has provided quality recreation and competitive (artistic and rhythmic) programs in a safe, inclusive, positive environment focused on learning and developing the whole child. Operating two 10,000+ sq ft facilities in Burlington, supported by a staff of over 75, the club is proud of its achievements within the sport of gymnastics, its community involvement and tenure with the City of Burlington. 

 

NOTE: **Only individuals (aged 15-30) are eligible for this position **- Canada Summer Jobs  

 

Working Term: 35 hours per week for 16 weeks

Start Date: May – September, 2023

Salary: From $18.00 per hour

Position Summary:

 

Under the supervision of the Burlington Gymnastic Club (BGC) Recreation Manager and Executive Director, the Special Events Coordinator will take the lead on a number of special events and projects undertaken by BGC over the term of the contract including, but not limited to: 

 

Reaching Each and Everyone (May-Dec) – in partnership with the City of Burlington and numerous community networks, BGC will assist with the planning, execution and evaluation of six equity diverse (Black, Indigenous, racially diverse, low income and newcomers, 2SLGBTQIA+ and those with disabilities) interactive workshops focused on barriers to participation in local sport. 

 

BGC Annual Athletic Awards Banquet (June) – assist the volunteer event planning committee with the planning and execution of the club annual athletic banquet and awards 

 

BGC Competitive year-end Gala (June) – assist the coaches and volunteers in the planning and execution of the club annual year end competitive gala event

 

BGC Annual Staff Professional Devevlopment (June) – assist with the planning and execution of the annual staff professional development two day training

 

Because I am Me (August) – ,BGC one day community event focused on promoting empowerment and health lifestyles for females

 

Community special events (May-Sept) – in conjunction with various community partners, BGC will promote the club and sport of gymnastics at various special events including the City of Burlington Children’s Festival, Board of Education open houses and fun fairs, and BGC open houses targeted at specialty groups, i.e. disabled or racialized youth.

 

Recreation Facility Move (May-Sept) – create a project plan noting tasks and timeline required to move the current recreation facility into a new site October 2023

 

Projects and Responsibilities:

 

  • Liaise with community partners and agencies in planning and executing applicable special events
  • Create project plans, critical paths and work-back schedules
  • Generate and monitor budgets
  • Assist in developing and executing event marketing materials that leverage digital and print platforms, analyzing and reporting on applicable analytics 
  • Recruit and manage staff/volunteers
  • Identify, communicate and secure subcontractors and suppliers
  • Manage internal and external community stakeholders/partners and communications
  • Prepare and file required documentation
  • Provide administrative support pre/during and post events
  • Oversee event logistics (set-up, on-site and tear-down)
  • Create and execute project evaluation and recommendations in a final report
  • Document project/event processes, procedures and tasks for future reference
  • Act as a BGC ambassador and customer service representative

 

General Duties for all Summer Positions:

 

  • Provide customer service excellence
  • Attend staff or committee meetings as assigned
  • Participate in other duties as directed by manager

 

Preferred Education/Skillsets or Employment Background:

 

  • Secondary (high) school graduation certificate, enrolled in post secondary college or university related course or equivalent related experience
  • Practical experience managing and/or executing events
  • Working knowledge of Google Suites and Excel

 

A successful candidate will possess the following strengths/skills:

 

  • Enthusiastic, organized, self motivated individual that works well independently and within a team 
  • Strong organization, project management, time management and problem solving skills
  • Creative thinker, detailed orientated, multi-tasker, who pays attention to detail 
  • Positive, professional, “can do” attitude that can react, adapt and resolve unplanned challenges
  • Experience in digital and social media applications and analytics
  • Excellent verbal and written communications and interpersonal skills
